Booking a visit

You can book a group to the Museum on weekdays by prior arrangement, subject to availability. The Museum Learning Programme is very popular and is usually fully booked well in advance, so please book in plenty of time.

We do not accept bookings by phone. Please email so that we can maintain a full record of enquiries.

Step-by-step booking guide

  1. To make a provisional booking email and tell us
    a Your name
    b Your school
    c Preferred dates
    d Type of visit
    e Level/age and number of students
  2. We will send you a link to our online calendar where you can check the availability of your date. Email us to request your preferred date.

  3. Once your provisional date is agreed with us, we will reply by email with a provisional acceptance which will be held for a limited time (indicated in the email). Our reply will contain our terms and conditions and a link to online booking form. By completing and returning the booking form, you are agreeing to our terms and conditions.

  4. You will receive two emails confirming that your booking has been accepted and that your visit has been confirmed. You should receive an automatic acknowledgement email immediately. Your booking will then be checked by the learning team who, within four days, will confirm by email if the information has been accepted and entered on the system. If you do not receive a confirmation email, please contact us by phone on 01908 374708 to ensure that your booking has been received.

  5. You will receive an email containing your visit itinerary and details.

  6. Five weeks before your visit, you will be asked to confirm the number of students coming on the visit. This is your last chance to change the number in the group. If you bring fewer students on the day, you will be charged for the number of students booked as we have to cover staff costs. If you bring more students on the day, you will be charged for the extra students although there may not be enough facilities to cover their visit. Please note: in the event of a cancellation less than 31 days before the proposed visit, 100% of the visit charge is payable.

  7. One week before your visit, you will be sent a reminder. Don’t forget to bring packed lunches for students and staff. Catering can be arranged if we receive sufficient notice.

  8. Keep a copy of your visit application form safe and bring it with you on the day of your visit. Give your adult helpers a copy of the itinerary.

  9. If you are running late on the day, please call the Museum on 01908 374708 and we will try to accommodate you. However, some activities may have to be be shortened or dropped in order to keep to time.

  10. It is the responsibility of the school, college or university planning their visit to the Museum to carry out a risk assessment for its own students. TNMOC provides notes to support risk assessment through a document which can be downloaded below.

  11. After your visit, TNMOC will invoice you for the visit fee, which must be paid within 14 days of the date of the invoice. We will also send an online evaluation form which we would be grateful if you and your students complete.
